Questions to prepare for a first appointment

30 September 2026 · 2 min read · Jordan

A useful first appointment is a conversation, not a script that promises a result. It helps the provider understand what the client wants, explain the service and decide whether the next step is within their training and scope.

Questions that open the conversation

Use plain questions and give the client time to answer:

  • What would you like help with today?
  • What do you hope will be different after this appointment?
  • Have you had this service before? What did you like or want to change?
  • Is there anything you are unsure or nervous about?
  • What would help you feel comfortable during the appointment?
  • Is there anything else you want me to know before we decide what happens next?

For health-related or regulated services, use the intake questions and consent process required by your professional guidance. Ask only for information you need, explain why you collect it, and keep it securely. Do not interpret a client’s answer as a diagnosis or offer advice beyond your qualifications.

Explain the choices

Before proceeding, describe the service in terms the client can understand. Cover what is included, how long it takes, the price, any relevant preparation or aftercare information within your role, and whether there are reasons the service may not go ahead. Invite questions and give the client a real option to pause or decline.

Avoid turning a consultation into a sales target. If a request is outside your competence, pause and signpost the client to an appropriately qualified practitioner. If the client reports a health concern, follow your professional protocol and refer them to a suitable health professional rather than trying to resolve it yourself.

Keep useful notes

Record the client’s stated preferences and the decisions made, using your normal consent and recordkeeping process. Tell the client how the information will be used and how they can ask questions about it. Review your process against current professional guidance and applicable privacy requirements.

A thoughtful first visit does not depend on clever questions. It depends on listening, setting honest expectations and knowing when a decision belongs with another qualified professional.
