When you need to end a client relationship

14 October 2026 · 2 min read · Jordan

Most client relationships end naturally, but sometimes a provider decides not to accept further bookings. A fair process begins with the facts and the service terms, not a label about the client’s character.

Review what happened

Write down specific incidents and dates: repeated missed appointments, unresolved service concerns, boundary issues or behaviour that made the work unsafe. Separate facts from interpretation. If the matter involves discrimination, a health condition, a complaint or a safety threat, get qualified legal or professional advice before deciding what to do.

Check your terms and obligations

Review the booking agreement, cancellation policy and any commitments already made. Ask a qualified adviser whether notice, refund or accessibility requirements apply. Do not create a false reason such as saying you are fully booked if the real decision is that you cannot continue the relationship.

Communicate directly

If it is appropriate to proceed, use concise and respectful wording: “I’m not able to accept future bookings. I’ll honour the appointment already confirmed on [date / explain the arrangement]. Here is where you can find [relevant information].”

Adapt this only after checking existing commitments and your obligations. Do not disclose the client’s details to other clients or staff who do not need them.

Protect records and boundaries

Keep a factual record of the decision and communication in a secure place. If you feel unsafe, use the safety process relevant to your workplace and contact the appropriate support or authorities.

A provider can set boundaries, but the correct process depends on the circumstances and applicable rules. This guide is not legal advice. Ask a qualified professional when the decision could affect a client’s rights or an existing agreement.
