What to do after a missed appointment

When a client says they forgot, you may feel frustrated about the time set aside. It is still better to respond to the situation than to decide what the client’s explanation means.
Check the booking record
Confirm the appointment date and time, the contact details used and which reminders were sent. Check whether the client received the booking confirmation and whether any changes were recorded. If the information is incomplete, note that before deciding how to improve the process.
Reply with the next step
A calm message can acknowledge the missed appointment and explain how to rebook. If your terms include a fee or deposit consequence, refer to the wording the client saw and confirm it applies before requesting payment. Do not suggest the system charged a fee automatically unless that is accurate.
For example: “Hi [name], I’m sorry we missed each other today. The booking terms explain how missed appointments are handled: [accurate summary]. If you’d like to book again, here are the next available options: [details].”
Review the booking process
Ask whether the confirmation was clear, the date and location were correct, and the reminder channel matched the client’s preference. Check that the client had a way to update their details or request a change. If multiple clients miss appointments, review the process rather than assuming the same reason in every case.
Keep terms fair and visible
Make sure cancellation and missed-appointment terms are available before a client confirms. Apply them consistently, document exceptions and get qualified advice if you are unsure whether a charge is permitted.
One missed appointment does not establish a pattern or explain a client’s priorities. Use records and clear communication to decide what to change. This article is a service-process checklist, not legal advice.
